Terms & Conditions
Effective from 1st December 2025
1. Definitions
- “Venue” means the premises operated by Poolhouse Global Ltd at 100 Liverpool Street, London, EC2M 2AT.
- “Booking” means any reservation made for the use of one or more pool tables at the Venue.
- “Booking Holder” means the person who makes the Booking and is responsible for all Guests.
- “Guests” means all persons attending the Venue under a Booking.
- “Services” means the provision of the pool tables, equipment, venue facilities and associated staff services.
2. Booking Confirmation, Payment & Deposit
- A Booking is confirmed only once the Booking Holder has: (a) provided full details; (b) accepted these Terms & Conditions; and (c) paid any required deposit or full payment, as notified at the time of Booking.
- The Booking Holder is responsible for ensuring that all Guests comply with these Terms & Conditions.
- Payment methods accepted: debit/credit card for online bookings, or bank transfer for larger group bookings.
- If payment or deposit is not received by the required deadline, the Venue reserves the right to cancel the Booking.
3. Cancellation & Rescheduling
- If the Booking Holder needs to cancel or reschedule, they must notify the Venue in writing (e-mail) at least 72 hours before the scheduled start time.
- If cancellation is made more than 72 hours before the start time, the deposit/hold will be refunded minus any costs incurred by the Venue.
- If cancellation or no-show occurs within 72 hours of the Booking time, the Venue reserves the right to retain the deposit and no refund or credit will be given.
- Rescheduling is subject to availability and at the sole discretion of the Venue.
4. Age Requirement & Entry
- All Guests must be at least 18 years of age. The Booking Holder must ensure all Guests meet this minimum age.
- Valid photo ID may be required; the Venue reserves the right to refuse entry or service if ID is not provided or age cannot be verified.
- The Venue reserves the right to refuse entry, remove a Guest, or terminate a Booking if a Guest behaves in a way that breaches these Terms & Conditions or the Venue’s rules, without refund.
5. Use of Pool Tables, Equipment & Facilities
- Guests use the pool tables, cues and other equipment at their own risk. The Venue makes no warranty as to the availability, condition or suitability of the equipment.
- Guests must follow all instructions given by Venue staff regarding the use of the pool tables and equipment.
- The Venue may suspend or terminate a game session (without refund) if a Guest disobeys staff instructions, behaves in a dangerous manner, or causes damage.
- Any damage to equipment or Venue property caused by a Guest must be compensated by the Booking Holder at the Venue’s standard replacement or repair cost.
6. Food, Drink & Conduct
- Only food and drink purchased on-site may be consumed in the Venue unless prior written agreement is obtained.
- Intoxication, underage attempts to consume alcohol, abusive or violent behaviour are strictly prohibited. Breach may result in immediate removal from the Venue without any refund.
- Guests must adhere to any dress code, hygiene standards or behavioural rules as displayed at the Venue or communicated at time of Booking.
7. Liability & Insurance
- The Venue’s liability for any loss or damage suffered by a Guest is limited to direct losses and excludes indirect or consequential losses, to the fullest extent permitted by law.
- Nothing in these Terms shall limit the Venue’s liability for death or personal injury caused by its negligence.
- Guests are responsible for their personal belongings; the Venue accepts no liability for loss, theft or damage to personal items brought onto the premises.
- Use of the Venue, pool tables and equipment is at the Guest’s own risk. It is recommended Guests hold personal liability and possessions insurance where appropriate.
8. Photography, Filming & Social Media
- The Venue may take photographs or video during a Booking for marketing, promotional or security purposes. By attending the Venue, all Guests consent to such use unless the Booking Holder requests otherwise in writing at the time of Booking.
- Guests may not conduct commercial photography or filming without the prior written consent of the Venue.
9. Venue Cancellation or Amendment
- The Venue reserves the right to cancel or amend a Booking (or part of it) due to operational reasons (equipment failure, health & safety, staffing, etc.).
- If the Venue cancels, it will notify the Booking Holder as soon as reasonably practicable and offer either: (i) an alternative date/time; or (ii) a full refund of sums paid.
- Other than offering the alternative date or refund, the Venue shall not be liable for any further compensation.
10. Data Protection
- Poolhouse Global Ltd will process personal data provided by the Booking Holder and Guests in accordance with its Privacy Policy and applicable data-protection laws (including UK GDPR).
- By providing personal data, Guests consent to processing for the purposes of Booking administration, provision of Services, marketing (unless opted out) and operational needs.
11. Complaints & Dispute Resolution
- Any complaint must be notified to the Venue in writing within 14 days of the date of the Booking.
- The parties agree to attempt to resolve any dispute arising from or in connection with these Terms in good faith.
- These Terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction.
12. Amendments to Terms
- The Venue reserves the right to amend or update these Terms & Conditions at any time. The version applicable will be the one published on the Venue’s website at the time of Booking.
